Who may rent State of Michigan motor pool vehicles?  Motor Pool vehicles are available to state employees who are authorized to travel.  Pool vehicles may also be utilized by contractors and other persons as authorized by the department.  All drivers must possess a valid drivers license in order to secure a vehicle from the Motor Pool.

Do you allow one-way rentals? No, all vehicles must be returned to the motor pool they were checked out of. That is why all reservations have a pick up and return time.

What is considered appropriate use of motor pool vehicles?  Motor pool vehicles are to be used for occasional travel.  If your vehicle needs require a vehicle greater than 50% of the time, you should contact your Department's Vehicle Coordinator to discuss your needs. 

Is registration required to use FleetCommander?  All drivers and motor pool arrangers must register to utilize FleetCommander to reserve motor pool vehicles.  Registration is available online at http://www.michigan.gov/motorpool.  The Motor Pool Administrator will review the registration and enable the use of the motor pool, notifying the driver or motor pool arranger through an email.  The email will provide information on how to reserve vehicles.

How are vehicles reserved?  Login to FleetCommander and select Make Reservation from the left navigation bar.

What if the system won't let me make a reservation on a holiday and I need one? You will need to contact an administrator; please call 517-636-6000 and one will assist you.

What if no motor pool vehicles are available?  In the event the Motor Pool does not have a vehicle available, drivers should contact their Department Vehicle Coordinator to make arrangements with Enterprise Rent-A-Car.  The cost of the rental car will be billed to your Department.  Drivers must pay fuel costs and apply to their department for reimbursement.  

What about late returns?  If a late return is anticipated during business hours, contact the Motor Pool administrator as soon as possible at 517-636-6000 or 517-373-7576.  Each driver should allow ample return time when reseving a vehicle.  If you return a vehicle early, the charges will be based on the time of return and not the reservation return time.

How late can a reservation be canceled?  Cancellations must be made as soon as it is known that the vehicle will not be required, but before the scheduled pick up time. 

How do you cancel a reservation?  Reservations can be cancelled at any time prior to the scheduled pick up date and time by going to "My Schedule" after you log in.  Find the reservation you want to cancel and click on the Red X in the far left hand column. 

What happens if a reserved vehicle is not picked up?  Vehicles not cancelled nor picked up within two hours of the pickup time will be cancelled and the driver will be charged a daily vehicle rental fee. 

What are the motor pool office hours? The Motor Pool office is open from 7:30 a.m. to 4:00 p.m., Monday through Friday. 

How is billing calculated?  For vehicles rented less than six hours in any day, hourly charges apply.   Vehicles rented for longer than six hours will be charged a daily rate. 

Is seat belt use required?   Vehicle and Travel Services policy requires the use of passenger restraints in all vehicles in which they are provided. Vehicles may also be equipped with passenger, driver, and side air bags, but these are NOT substitutes for lap and shoulder belts. BE SAFE--BUCKLE UP!  Child restraints must be used when appropriate.

Is smoking allowed in motor pool vehicles?   Drivers and passengers are prohibited from smoking in any State of Michigan vehicle. Violators may be subject to discipline and additional cleaning charges. 

Be courteous to your co-workers.  Return the vehicle with a clean interior, an exterior free of excessive grime, and at least 3/4 tank of gas.
